Prior to the show.

Set the dates of the show and secure agreement with the gallery, sign appropriate paperwork.
An artist reception is required. Non refundable, Payment is due for gallery rental.
The general dates are determined by Gallery 202, Partners in Art, Inc. but there is room for play with the set up, take down, and reception date. |

Create a title and/or define a theme for the show
Titles and themes help to create great press. It also helps determine the parameters for the judges. |

Create a budget –will help determine so much of what will happen.
Exhibitors are responsible for all costs unless specifically stated in writing by the gallery. |

If it is decided to have awards for a show, then select a judge.
The judging can be scheduled after hanging (including wall labels) but before the reception. Don’t wait until the last minute to get a judge!

Find Music, Performers for the reception.

Define a reception committee to ensure food and refreshments are supplied.
Usually the committee (which can be one or more people) ensures the paper goods and beverages are supplied for the event including table cloths.
Tables are provided by the gallery.
Alcoholic beverages are allowed inside the gallery. |

Get helpers for take-in and take-down
Take in set up is up to three days before an event, take down is immediately after event and the
Reception is up to the exhibitors.
The gallery reserves the right to hang or have the exhibitors hang the show.
The gallery is not held responsible for artwork not picked up when initially determined. The gallery may dispose of artwork left passed the pickup dates as they deemed necessary. |

Discuss with the gallery for labels and for the programs –
We ask that the gallery name and address, website etc. be placed on the program. |

PR - work with gallery on appropriate PR.
Give all press release to the gallery 3-6 weeks in advance to insure good press. |

Design a post card/flyer with appropriate information including dates, time and location. Include the website of the gallery as we will place information about this exhibit on the web site.
Exhibitors are responsible for the printing costs.
The gallery will send out email invitations to their email lists. |

Have a list of all artwork, mediums and and prices ready.
If group show, have forms ready for artists to fill out. Have volunteers present to do take in. |
On the hanging date |
Host the Judge – let gallery know if the judge is coming in on non-public hours. |

Please come in and set up at least 30 minutes before the reception and must be cleaned up after the reception. |

Staff the gallery - The gallery can provide volunteers for their normal open hours. Any other hours need to be staffed by exhibitors |

Execute take-down –remember artwork not picked up will be given away. NO EXCEPTIONS |

Sales – all payments are made to Galley 202.
We request that at least 80% of the work on display be for sale.
In all cases, any art sold during a show must remain hanging through the end of the show . . |
